Privacy Policy
This page explains what personal information SpeakScoreFix collects, how it is used, and the rights you have over it. We try to keep things plain.
Who we are
SpeakScoreFix is operated by Vivan Shah, an individual sole trader based in Belgium. References to "we", "us", or "SpeakScoreFix" mean the operator. For privacy questions or requests you can reach us at support@speakscorefix.com.
What we collect
- Identity and contact: first name and email address you enter on the audit form.
- Speaking goal data: path (daily, test, interview), test type, target score, deadline, biggest concern, headset, native language, job role, and similar context you choose to share.
- Voice metrics: measurements derived from your microphone input in your browser (words per minute, pauses, silence, peak volume, and clipping ratio). When AI transcription is enabled, the short recording is sent to OpenAI only to create a transcript for coaching. We do not store raw audio recordings on our servers.
- Generated report: the personalised speaking plan we create for you.
- Payment data: processed by Stripe. We do not store card numbers or bank details. We retain the Stripe checkout session ID, customer email, and subscription status.
- Usage analytics: non-identifying funnel events (page view, form submit, checkout start, fulfillment completed) so we can improve the product.
How we use it
We use the information to deliver the speaking plan you requested (Article 6.1.b GDPR — performance of a contract), to send the report email and customer support replies (Article 6.1.b), to keep records required by tax and consumer law (Article 6.1.c), and to improve SpeakScoreFix in non-identifying aggregate form (Article 6.1.f — legitimate interest). We never sell your data and never use it to train AI models for third parties.
How long we keep it
- Audit data and reports: retained for 24 months after your last interaction so you can re-open your plan, then deleted or anonymised.
- Payment records (invoices, refunds): retained for 7 years to comply with Belgian and EU tax law.
- Email logs: retained for 30 days for deliverability and abuse handling.
- Analytics events: retained for 13 months in aggregated form.
You can ask us to delete your data sooner. We will honour that request unless we are legally required to keep specific records (typically tax invoices).
Who else processes your data
To run the service we use a small number of carefully chosen sub-processors. Each is bound by a data processing agreement and acts only on our instructions.
- Stripe — Payment processing (cards, subscriptions, invoices). Region: United States and European Economic Area. International transfer safeguard: EU Standard Contractual Clauses. Their DPA.
- OpenAI — AI-generated content for personalised speaking plans. Region: United States. International transfer safeguard: EU Standard Contractual Clauses. Their DPA.
- Resend — Transactional email delivery. Region: United States. International transfer safeguard: EU Standard Contractual Clauses. Their DPA.
- Supabase — Database storage for audits and analytics. Region: European Economic Area. International transfer safeguard: EU Standard Contractual Clauses. Their DPA.
- Vercel — Application hosting and content delivery. Region: European Economic Area and United States. International transfer safeguard: EU Standard Contractual Clauses. Their DPA.
Your rights
Under the GDPR you can:
- access the personal data we hold about you,
- have inaccurate data corrected,
- have your data deleted (right to be forgotten),
- restrict or object to processing,
- receive your data in a portable format,
- withdraw consent at any time, and
- lodge a complaint with the Belgian Data Protection Authority dataprotectionauthority.be.
To exercise any of these rights, email support@speakscorefix.com and tell us which right you want to exercise. We will reply within 30 days.
Cookies and tracking
SpeakScoreFix uses only first-party storage that is strictly necessary to run the audit form and remember your locale choice. We do not use advertising cookies, third-party trackers, or behavioural profiling.
Children
SpeakScoreFix is not directed at children under 16. If you are a parent or guardian and believe a child has provided us data, please email us and we will delete it.
Changes
When we update this policy we will change the "Last updated" date. Material changes will be highlighted on the homepage for at least 14 days.
